Position Objective

We are seeking an experienced Finance Officer to join the finance and procurement department to ensure the smooth and efficient management of the financial systems at CPHD. The position holder will provide comprehensive financial management support to CPHD that includes: monitoring of funding; production of regular management accounts and reports; management of income and expenditure; maintenance of financial systems and procedures.

The position holder is required to possess good drafting skills and to be numerate in handling all aspects of the organizations finance. He/She will have experience in maintaining effective and efficient financial procedures and experience of financial administration and bookkeeping, including payroll and display proficiency in QuickBooks or other financial software products.

Specific Responsibilities

  • Keep accurate and complete record of financial transactions in the computerized accounting system. 

  • Maintain proper filing of vouchers, supporting documents and backup documents and safe storage of chequebooks and banking documents
  • Prepare monthly bank reconciliation statements and to reconcile account balances. 

  • Prepare salary sheets of CPHD staff 
and arrange for payment.
  • In close collaboration with the program leads, monitor and forecast program fiduciary requirements and expenditures.
  • Maintain any Institutional loan and salary advance register.
  • Collect and examine supporting documentation to ensure accuracy                      
  • Prepare the monthly financial accounting reports at the end of each month, and submit them to the FM by the second week of the following month.
  • Prepare monthly management reports at the end of each month to be submitted to the SMT.
  • Assist in the preparation of budgets, financial reports and accounts to donors, as requested.
  • Liaise regularly with budget holders to monitor the spending of approved budget, ensuring the spending complies with donor’s contractual regulations
  • Keep track and process PAYE and WHT for CPHD staff and consultants if any, and compulsory NSSF and NHIF statutory deductions in accordance with the Kenyan Government requirements
  • Assist in filing annual returns to IRS and the NGO board of Kenya.
  • Assist in both internal and external institutional audits
  • Ensure that all staff members adhere to financial systems and controls.

Qualification and Skills

  • A Bachelor’s Degree in business administration, or business studies or management with specialization in finance or accounting. 
CPA II certification will be an added advantage.
  • At least 3 years’ experience of working in finance in an NGO or INGO. 

  • Sound knowledge of accounting procedures and principles. 
  • Excellent skills of operating Microsoft word and excel spreadsheet. 

  • Experience in using accounting software specially, QuickBooks. 

  • Experience in working on USAID, EU and DFID-funded projects is an advantage 

  • A positive problem-solving approach.
  • Good interpersonal and team-working skills 

  • A willingness to promote the work of CPHD and develop collaborative work with others
